What we collect when you ask for a quote, who we share it with, how long we keep it and how to exercise your rights.

Who we are

This website, cityboiler.co.uk, is run by City Boiler, a sole trader business based at 8 Hay Lane, Coventry CV1 5RF, United Kingdom (“City Boiler”, “we”, “us”). We are the data controller for the personal data described in this notice. You can contact us about your data at [email protected].

City Boiler is an introduction service. We are not an installer. We help you decide on a heating system and, with your consent, pass your details to one independent local installer who can quote for the work.

What we collect

When you use the quote form, we collect:

We do not use your details for marketing unless you have separately agreed to it, and we do not sell your data to lists or brokers.

Who we share it with

One independent installer. With your consent, we send your quote request to one independent installer who covers your area and holds the right registration for the work (Gas Safe, MCS or OFTEC). That installer becomes a separate controller of your data and handles it under their own privacy notice. Any contract for work is between you and them.

Service providers who process data for us. We use a small number of providers to run the site and deliver your request, such as:

  • Cloudflare, which hosts the website
  • Web3Forms, which receives the quote form and emails your request to us so we can pass it to the installer

They act only on our instructions.

We may also disclose data where the law requires it.

International transfers

Some providers may process data outside the UK. Where they do, we rely on appropriate safeguards such as UK adequacy regulations or the UK International Data Transfer Agreement or Addendum.

How long we keep it

We keep quote requests and the record of your consent for 24 months from the date you submit the form, then delete them. You can ask us to delete it sooner.

Your rights

Under UK GDPR you have the right to:

  • access the personal data we hold about you
  • have inaccurate data corrected (rectification)
  • have your data erased
  • object to processing based on our legitimate interests
  • restrict processing in some circumstances
  • data portability, where processing is based on consent
  • withdraw your consent at any time, without affecting anything already done before you withdrew it

To use any of these rights, email [email protected]. We will respond within one month. If your details have already gone to an installer, we will tell you who they are so you can contact them too.

Cookies and analytics

We do not use analytics or advertising cookies. If we add analytics in future, we will ask for your consent first and update this notice.

Complaints

If you are unhappy with how we have handled your data, please contact us first at [email protected]. You also have the right to complain to the Information Commissioner’s Office (ICO), the UK data protection regulator, at ico.org.uk.

Changes to this notice

We may update this notice. The date at the top of the page shows when it was last changed.
